QuickBooks Database Server Manager
The QuickBooks Database Server Manager is a utility which allows you to configure the QuickBooks Server for multi-user access.

How do I update my data to a new version of QuickBooks Desktop?
Your data from an earlier version of QuickBooks will update automatically the first time you open the company file in a new version of QuickBooks. Before doing so, QuickBooks automatically backs up the company file in its current version format so you can revert back to the previous version of QuickBooks if you need to.

Move company file from your old computer to your new computer
- Create a backup copy of your file on your old computer.
- Copy the backup file to your new computer.
- Install QuickBooks Desktop on your new computer.
- Restore the backup file on your new computer.
- Uninstall QuickBooks Desktop from your old computer.
Note: Moving company file to another computer does not affect your QuickBooks Desktop license.
Where is QuickBooks Desktop company data file?
Defaultly QuickBooks company file is in location of C:\Users\Public\Documents\Intuit\QuickBooks\Company Files
Note: To meet the recommended QuickBooks Desktop requirements for optimum file performance on the network, this tool should be installed and set up on the computer where the QuickBooks Desktop company files are stored.
Few points for QuickBooks Database Server Manager
- QuickBooks Database Server Manager (QBDBSM) is responsible for creating Network Data files (*.nd) for any company files stored on the host computer.
- Installing multiple versions of Database Server Manager will give you multiple versions of processes but not multiple versions of the software.

How to install QuickBooks Database Server Manager
Step 1 Double-click the installer from QuickBooks
Step 2 Click on start the Installation Wizard
Step 3 If the computer is connected to the Internet then click Next and able to download the updates.
Else not then, click on No and go to Next
Step 4 Select that I accept the terms in the license agreement and then click on Next
Step 5 Select on Custom or Network Options
Step 6 Choose any installation type as per given below:-
- If you will run the QuickBooks program on this computer then I will be using QuickBooks on
this computer AND I’ll be storing…
- If you will only store QuickBooks data on this computer then I will not choose to use QuickBooks on this computer…
Step 7 Select Yes, allow access
Step 8 Enter the License Number and Product Number
Step 9 Follow the instructions to complete installation
Step 10 Setup the Database Server Manager after it has been installed
How to update QuickBooks Database Server Manager
It is necessary that QuickBooks Desktop is installed on the workstations or if a critical update to a current year is released.
- Download the patch. Detail for how to Update QuickBooks Desktop to the latest release.
Note: The patch for the server is the same as for the workstation.
- Reboot the server after the patch is completely installed in the computer system.
- After the server has been updated, you may get the following message: The company file needs to be updated to work with this version of QuickBooks Desktop.
- Create a backup which is required since these updates can modify the database structure.
- After backup is completed follow the prompts

Step 1 Click on Start

Scan Folder Feature
All company files stored on the server. So that the server must be scanned once they are configured properly to allow other users to access these files properly.
Step 1 Click on Start
Step 2 Click on Programs
Step 3 Click on QuickBooks
Step 4 Click QuickBooks Database Server Manager
Step 5 Click on Scan Folders
Step 6 Indicate which folders contain QuickBooks company files.If you are not sure where files are stored, then you can choose to scan entire disks from your computer system
Step 7 Click on Scan to begin the scan from the computer system
Monitored Drives Feature
It is to keep the QuickBooks Database Server Manager up to date as you add new company files to your server.
Step 1 Click on Start
Step 2 Click on Programs
Step 3 Click on QuickBooks
Step 4 Click on QuickBooks Database Server Manager
Step 5 Click Monitored Drives tab
Step 6 Click to select all local drives that you want to be monitored for company files
Note: Mapped drives are not displayed and cannot be monitored.
Database Server Feature
- The company files connected to the server and the list of users logged into each company file.
- When the server is hosting company files, the service should be running.
- To change the status of the service, use the Services Administrative Tool to configure the service QuickBooks DBXX.
Updates Feature
It is used to download updates to the QuickBooks Server and to view the version of the QuickBooks Server.
Step 1 Click on Start
Step 2 Click on Programs
Step 3 Click on QuickBooks
Step 4 Click on QuickBooks Database Server Manager
Step 5 Click Updates
Step 6 Follow the instructions to check for and install updates
Note: You can update the QuickBooks Server manually.
System Feature
It is used to find system information about the computer where the database server is installed.
Step 1 Click on Start
Step 2 Click on Programs
Step 3 Click on QuickBooks
Step 4 Click on QuickBooks Database Server Manager
Step 5 Click on System
Step 6 Review the system information for the computer where the database server is been installed
