Being that merging QuickBooks accounts is an irrevocable operation, be sure that it is the one that best suits your requirements. Only two accounts can be merged at once, and they both need to be of the same type. Most of the time, you can adjust the account type to correspond with the new account. Additionally, the accounts you are transferring must belong to the same parent or sublevel. For instance, you won't be able to merge these accounts until you modify their positions to match if one account is a parent and the other is a subaccount.
- Select "Chart of Accounts" from the menu under "Lists." Drag the diamond icon to the left or right on one of the account names so that the names match if the account you want to merge is at a different hierarchical level.
- Choose the account you wish to merge and delete. Select "Edit Account" under "Account."
- If the account type is different from the one you're merging, change it. Accounts with subaccounts connected, A/R accounts, automatically formed accounts, and other account types cannot be modified. You cannot merge accounts if the account types on the two accounts don't match.
- In the Name field, enter the name of the account you're merging this one with.
QuickBooks action to merge accounts:
- Go to the chart of accounts
- Click Edit Account by performing a right-click on the account you want to keep.
- Make a copy of the account's name that you want to maintain.
- Return to your chart of accounts and select the account you want to merge with the one you wish to keep by using the right click menu.
- Overwrite the name of the account you want to close with the name of the account you want to keep.
- to save and close.
- A notice stating that "This name is already being used" will appear in QuickBooks. Do you want to combine them?
- Your accounts will be merged once you click "Yes."
